This policy explains what personal data Walter Flat Caps collects when you visit walterflatcaps.com or place an order, why we collect it, and what rights you have. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect
- Order data. Your name, delivery address, billing address, email address and the contents of your order. Payment details are entered at checkout and handled by our payment providers; we never see or store your full card number.
- Contact data. Anything you send us by email, so that we can answer you.
- Marketing data. Your email address, if you choose to subscribe to our emails.
- Technical and usage data. IP address, browser and device type, the pages you visit and how you reached the site. This is collected through cookies and similar technologies.
Why we process it, and on what legal basis
- To take and fulfil your order — including delivery, returns and refunds. Legal basis: performance of a contract (UK GDPR Article 6(1)(b)).
- To answer your questions about an order or a product. Legal basis: performance of a contract, or our legitimate interest in replying to you (Article 6(1)(b) and 6(1)(f)).
- To keep accounting and tax records of sales. Legal basis: compliance with a legal obligation (Article 6(1)(c)).
- To send marketing emails, where you have asked for them. Legal basis: consent (Article 6(1)(a)). You can withdraw it at any time with the unsubscribe link in any email, or by writing to us.
- To keep the shop running, secure and free of fraud, and to measure how it is used. Legal basis: our legitimate interest in operating and improving the shop (Article 6(1)(f)), and your consent for any cookie that is not strictly necessary.
Who we share it with
We share personal data only with the service providers we need in order to run the shop, and only as far as they need it: our ecommerce platform (Shopify), our payment providers, our warehouse and delivery partners, including Royal Mail, our email provider, and our analytics provider. They act on our instructions and are not allowed to use your data for their own purposes. We also disclose data where the law requires it.
Transfers outside the UK
Some of our providers, and our own company, are established outside the United Kingdom, including in the United States. Where personal data is transferred outside the UK, we rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or an adequacy decision where one applies. You can ask us for a copy of the safeguards that apply to a particular transfer.
How long we keep it
Order and transaction records are kept for as long as we need them for the order and for the periods required by tax and accounting law. Email correspondence is kept for as long as it is useful for your enquiry and any follow-up. Marketing data is kept until you unsubscribe. Technical data from cookies is kept for the lifetime of the cookie concerned.

We use cookies that are strictly necessary for the shop to work — such as keeping your basket and your session — and, with your consent, cookies that help us measure how the shop is used and how people reached it. Your rights
Under the UK GDPR you have the right to ask us for a copy of the personal data we hold about you, to have it corrected or erased, to restrict or object to how we process it, to have it transferred to another provider where that applies, and to withdraw consent where we rely on consent. This shop is not aimed at children and we do not knowingly collect personal data from anyone under 16.
